MTA 2017 Annual Meeting of Delegates

Hotel Instructions & Reservations

Your hotel arrangements are NOT automatic. Please do NOT contact the hotel directly. Please make hotel arrangements as soon as possible as space is limited.

MTA does not have any guest rooms at the Sheraton. Most MTA delegates will have rooms at the Boston Marriott Copley Place (guest rooms renovated in 2012). Covered walkways and sky bridges provide easy access from the Marriott to the Hynes Convention Center.

Local Associations & Chapters

There are two options offered for hotel arrangements.

Option 1: Rooms may be booked individually, each delegate handling his or her own arrangements. Watch your email inbox for a confirmation from
Deadline: Monday, April 24, but hotel is subject to selling out before that date.

Option 2: Local presidents may handle hotel arrangements for their delegation by booking a block of rooms and then later assigning names to those rooms.

If choosing option 2, holding hotel rooms for your delegates is a two-step process:

Step One: Hold Your Room Block. To complete your room block hold, have:

  • The number of delegates your local is sending to Annual Meeting.
  • The types of rooms (singles/doubles, etc.) and number of nights your delegation will require.
  • A VISA or Mastercard credit card to hold your block. Your credit card will not be charged at this step. Payment arrangements will be made at check-in or check-out. If there are outstanding
    charges for any room in your block after checkout, your credit card will be charged. Watch your e-mail inbox for a confirmation from

Deadline for Step One is Friday, March 24.

Step Two: Assign Members to Rooms on or before Monday, April 24, by visiting your local’s page on the new Online Delegate Reporting System (see email sent on March 3 from MTA Governance) to assign your members to the rooms being held. Your Online Delegate Reporting pages will display the number and types of rooms in your block. You will note which delegates need which types of rooms. There will be a space on the online form to note delegates sharing rooms.

Deadline for Step Two is Monday, April 24.

Regional Ethnic Minority Delegates and Statewide Retired Delegates

For 2017, all reservations will be made online. The deadline to make hotel room reservations is Monday, April 24. Please use a VISA or Mastercard to hold your reservation. Alternate arrangements with the hotel (a paper check, etc.) can be made on check-in or check-out. If there are outstanding charges for your room after checkout, your credit card will be charged. You will receive a confirmation from of your completed reservation.
